This policy explains how we handle personal data of anyone who visits techgrid.media, contacts us, submits pitches, partners with us, or takes part in our events or commissioned projects. It also describes your rights and how to exercise them.

What we collect

1) Information you provide to us

  • Pitch / “Write for Us” submissions: name, email, role/affiliation, links to past work, pitch text, disclosures, optional file uploads. 
  • Contact / tips / corrections: name, email, message content. 
  • Partnerships / advertising: name, email, company, role, message; optional media-kit info. 
  • Accounts for credited authors (internal use): bio, avatar, social links. 
  • Payments (only if you buy a paid service or sponsored format): billing name, address and limited payment details handled by our payment provider. 

2) Information collected automatically from your device

  • Technical & usage data: IP address, device/OS/browser, pages viewed, referrer/UTM, timestamps, approximate location, session duration. 
  • Server logs for reliability and security. 

If we run in-person events with badge scanning, we may record entry/area access to manage capacity and improve future events.

3) Information from third parties

  • Payment providers (e.g., Stripe/PayPal equivalent) share payment confirmation and limited card metadata. 
  • Email/analytics providers may supply aggregate engagement metrics. 

We do not intentionally collect special categories of data. Please avoid sending sensitive information in forms or uploads.

Why we process your data (and legal bases)

  • Operate and secure the site (hosting, caching, logs, DDoS mitigation). Legitimate interests. 
  • Respond to pitches, tips and messages; run the editorial workflow. Legitimate interests / steps at your request before a contract. 
  • Provide paid services/sponsored formats; issue invoices/receipts. Contract / legal obligation. 
  • Analytics to understand readership and improve content (cookie-free by default or with consent if cookies are used). Legitimate interests / consent. 
  • Marketing (newsletters/updates) only with your consent or where permitted by law with an easy opt-out. 
  • Legal and compliance (handling abuse, fraud, lawful requests). Legal obligation / legitimate interests. 

You can object to processing based on legitimate interests where your rights override ours.

Who we share data with

We share personal data only as needed to run TechGrid:

 

  • Email & productivity: Google Workspace (mail handling). 
  • Analytics: one of GA4 (Google) or Plausible (cookie-free). See Cookies below. 
  • Form processing: our WordPress form plugin (e.g., Gravity/Fluent/CF7) storing submissions in WP. 
  • Payments (if applicable): a PCI-compliant processor (e.g., Stripe/PayPal). 
  • Events: if you allow a sponsor/exhibitor to scan your badge, your contact details are shared with that sponsor. 

If we undergo a merger, acquisition, or asset transfer, your data may move to the new owner under the same protections. We may disclose data to public authorities if required by law. We never sell personal data.

 

International transfers

If data leaves the EEA/UK (e.g., Google services), we rely on Standard Contractual Clauses and additional safeguards (encryption in transit, access controls).

Cookies & similar technologies

We keep tracking minimal.

  • We use either Plausible (cookie-free) or Google Analytics 4 (which sets cookies such as _ga, _ga_*). If GA4 is enabled, we deploy a consent banner and don’t load non-essential cookies until you agree. 
  • WordPress sets cookies only for logged-in authors/admins (not for regular readers). 
  • Embeds (e.g., YouTube, X/Twitter, LinkedIn) may set their own cookies; we try to load such embeds only after interaction/consent.

Retention

  • Pitches & submissions: ~12 months (or sooner on request). 
  • Contact/tips/corrections: ~24 months. 
  • Analytics: GA4 events ≤ 14 months; Plausible keeps aggregate stats only. 
  • Server logs: up to 12 months for security. 
  • Contracts/payments: typically 6 years to meet legal obligations. 

We retain data longer only if needed to resolve disputes or comply with law.

 

Your rights (EEA/UK)

You have the rights to access, rectify, erase, restrict processing, object, data portability, and to withdraw consent at any time (where processing relies on consent).
Contact team@techgrid.media to exercise these rights. We may ask you to verify your identity.

You can also complain to your local authority (e.g., AEPD in Spain, ICO in the UK).

Security

We use HTTPS, hardened WordPress, least-privilege access, encryption in transit, and monitored backups. No system is perfectly secure. Please report vulnerabilities to team@techgrid.media (we aim to acknowledge within 72 hours).

Articles often link to external sites and primary sources. Their privacy practices are not ours—please review their policies before sharing data.

Changes to this notice

We may update this notice to reflect changes in law or our services. We’ll revise the “Last updated” date and highlight material changes for a reasonable period.
